FC Dallas Youth Program Utilized AllPlayers.com for Fall Enrollment

If you’re an FC Dallas youth program parent, you noticed something quite different this year. For the first time, you were able to enroll completely online without having to go in to a facility or print up a bunch of forms. Registration could be done from the comfort of your laptop, when it’s convenient for you!

Thanks to AllPlayers.com, enrolling youth participants in this season’s activities was extremely easy for the parents and the program!

Everyone claims it, we simply do it

We mean easy!Everywhere you look you see signs of “easiest!!”, “fastest!!!”, “quickest!!!” and every other word you can can come up with to display less effort required. You’ve even seen it on here, talking about AllPlayers.com.

Well there is one simple thing that sets us aside from others –  we actually provide it. Setting up your AllPlayers.com group page and managing your organization/team/league/group/family/class/studio/lessons/etc…is extremely easy. Not simply because we said so, but because we’ve dedicated a lot of time and resources to ensure that the services and tools we provide our users are the easiest possible and require the least amount of effort.

People have enough to do in life other than try to figure out what how this feature works our what steps we have to do in order for that feature to work.  AllPlayers.com polls its users and admins to gauge their levels of satisfaction and measure how easy they think the application is, and where they say they’ve had problems or even the slightest question, our user experience team does their best to address it right away.

Here are a few examples we’re particularly proud of:

  • Setting up a group page takes about the same time and effort as brewing a cup of coffee from a k-cup machine
  • Registering for a group as a parent, fan, coach, participant or other on AllPlayers.com takes less time than getting your library card (which you absolutely should do, by the way)
  • Sending an AllPlayers.com broadcast message to your participants is more effective than speed dial
  • Taking payments for registration is seamless and now easier than ever to track and reconcile

If you haven’t started your group page, don’t be intimidated!!! It really is easy. We promise. To show you how easy it is, we’ll set up a Consult with you and be happy to walk you through the simple steps and the awesome features we provide you.  Set up your consultation today and be managing your group minutes later.

Who Uses AllPlayers.com: Event Managers

AllPlayers.com is not simply for sports teams to manage their leagues or team administration.  Event managers can utilize the full suite of free group management services to manage all aspects of their event. From marathons, charity fun runs, golf tournaments or fundraising dinners, AllPlayers.com has the features needed to manage full-scale events.

How do we do this?

By utilizing the custom group features, event managers can easily create the event, communicate to all participants, distribute necessary forms and files, manage schedules for all involved and easily juggle all aspects of highly detailed events.

Let’s pretend we’re going to manage a 5K fun run.  For our event, we have an event manager, several volunteers, a database of emails of those who participated in our fundraiser last year, sponsors, vendors, and we assume we will have spectators along the way.

Create the Page(s)

Create GroupFirst the event manager creates the custom group page to initially set up the overall information about the event. This can be basic information about the event: add the logo, add information about the beneficiary, and any relevant details. This will be the “group above” for the event.

(in AllPlayers.com “group above” is synonymous with “parent group” and “group below” means “sub group”)

This is where AllPlayers.com comes in really handy: next you can create a “group below” for each of your sub-groups within the event. This can be a separate group page for your volunteers, participants, vendors, etc.  Each of these groups has different information that needs to be distributed throughout, and AllPlayers.com makes it easier than ever to target your communications to only the necessary recipients.

(other ideas for groups below: age groups for participants, separate by gender, separate by grade level, etc…)

We need to accept credit card payments for registration and sponsorships, so we fill out the necessary paperwork to open and manage our merchant account. (this is all done with AllPlayers.com)

Add Content

Add Content, file downloadBefore we open registration, we need to make sure all of our information is in order for all participants.  Create a “New Page” and name it Participant Packet. From that page, we’ll upload the zip file that contains all of the relevant information that our racers will need for the day. This can include .pdf versions of maps, vendor coupons, or any other information we want to make available to our runners.

Next let’s display the route to our racers. We have this available in a .png file format. Create a new page, add a content box through the admin dashboard and add this image to the box. This will display the map image.

We are lucky enough to have many companies sponsor our event. Create a new page called “Sponsors” and add a content box where you can add each sponsors’ logo and other relevant information (we can also create new boxes to be included on the default page of each group/group below for sponsor logos too!).

Registration

AllPlayers.com registration is the absolute easiest process available, for both managers and participants.  The amount of control you have over your registration options will make managing this fun run incredibly easy.  Simply define what date registration opens, when it will close, define min/max ages (if applicable), gender requirements (if applicable), you can limit the amount of people who can register for the given groups, define what information you need to collect from each participant, and presto, you’re done setting up registration!

Next, using the list of participants from previous fundraisers, we’ll use the “invite” feature and generate an official invitation to your event. AllPlayers.com will generate an email that you can send right away or copy and paste into your own email client to be sent.  You can also share your invite on Facebook, Twitter, and Google+.  Included in the generated email invitation is a link that will take your participant directly to the registration page for your event!

Participants can register for several roles, all which are defined and managed by the group administrator. For our fun run, we’ll have players (runners), volunteers, and fans.

All participants and sponsors can pay their fees, donations and other committed monies online through our online payment processing features.

Create Calendars

CalendarWe know on which date the run will take place and from there we’ve established other important dates such as registration open and close dates, volunteer training, vendor ordering deadlines, etc.

For each of these groups below, you can also create specific calendars. For instance, your volunteers will need to know when training is, when certain deadlines for paperwork or other meetings and participants will need to know registration deadlines and other important dates. All calendars in our groups below will be aggregated in the main calendar to make sure all important dates are displayed for the relevant users.

Communicate

BroadcastOnce you have participants register, communication is a must. Whether you need to reach out to your volunteer list at the last minute to see if anyone can go pick up a box of t-shirts or need to announce to everyone a change in the schedule, AllPlayers.com communication services fit your needs.

Upon registration, each participant indicates if he/she wants to be notified by email or SMS text message, so you know your message is being distributed accordingly.

Services and Gear

Gear and ServicesAllPlayers.com has a diverse marketplace that discounts every type of equipment, gear, uniform and service we’ll need for our event.  AllPlayers.com provides:

  • Event t-shirts for runners, volunteers, managers
  • Water bottles to hand out in gift bags
  • Gift bags
  • Event insurance
  • Volunteer background checks
  • Printing for sponsor banners, race flyers, brochures, signs, and race bibs
  • Custom tents for race day management and sponsors

Free Zip Code Search

Find GroupDon’t forget about the free zip code search! For those AllPlayers.com users looking for something to do in their area, your fun run will be displayed when someone searches for an event/activity within their specified zip code. We can extend our reach for fundraiser within the AllPlayers.com community!

We’ve hatched!

What is it missing?Notice anything different from the screen-captured logo to the left? It’s missing something. Something you saw every time you logged in and wondered, what is that for?

We had our “beta” removed. Don’t worry, nobody was hurt. We busted through our beta shell and are not looking back.

This past weekend AllPlayers.com excitedly moved into full production mode, formally leaving behind our official beta development stage!! We are all thrilled to have made this change and with the rollout came several updates, including the easiest, fastest, quickest, most expeditious, efficient, timesaving, easy-to-follow, simplest group registration ever.  Needless to say, we’ve made it easy for users to register to be part of a group. Any group.

You need to check this out. Set up a demo with your favorite Member Services team representative and have at it.

Dear AllPlayers: oh how we love to hear good things

Below is taken from an email we received from a team mom who volunteers for her daughter’s soccer team and softball team.  We really like to receive these emails, considering how loose some people can be with their “constructive” criticisms of things like color usage, we want to shout these compliments from the rooftops. And since we don’t have rooftop access to our office building in Irving and nobody on staff is willing to take risks of outdoor window climbing like Tom Cruise in MI:4, we’ll spread our accolades the old fashioned way.

Hi AllPlayers,

I am a team mom for my daughter’s soccer team and this year volunteered to help out new her softball team. I just got back from an introduction meeting for the softball team moms. I’ve gotten used to her soccer league and head coach sending emails and updates through Allplayers, and at this softball meeting I realized how disorganized leagues are. The league had no idea when the schedule was going to be announced because they were still trying to work it out, they weren’t even sure how they were going to tell the teams or parents when the schedule was finalized – send an email to all coaches, all parents..? Also for forms and picture orders they gave each team one photocopied form and told us we had to go make copies to hand out to each player.  And for weather days, we were told to check their web site first, and if it wasn’t updated check the Facebook page, and if it wasn’t updated call the league’s phone number.

With our soccer team, the schedule was announced on our team page, the coach sent us emails, we could check the team page whenever we wanted for all updates, our team and individual photo order forms are available for us to download ourselves and being team mom is fun. I get to actually do stuff for the players instead of be a secretary.

I mentioned that the softball league should look into AllPlayers, and they said they’d heard of it but they were in contract with the scheduling tool and web site they’d been using for a few years but were going to check you guys out again to see if they do both. I hope they can.

Thanks
